Zeeland Refinery – a joint venture between TotalEnergies and Lukoil – produces crude oil fuels and important raw materials. The refinery in Nieuwdorp, Zeeland, employs over 400 people. On a daily basis an average of 250 contractors work on site. During their yearly turnaround’s the amount of workers can climb up to over 3.000 per day. These contractors are hired by many different organisations, that all have to be verified before entering the site.
Working with so many different contractors, requires bulletproof safety and security procedures. The registration and validation process of contractors previously consisted of long Excel lists. A labour-intensive and error-prone process due to the absence of a centralised system. This sometimes resulted in waiting times at the entrance to over four hours!
Since 2020, Zeeland Refinery is using GoWorkforce to automate the entire process of registration and approval of organisations and contractors. To meet the demands for a smooth onboarding process, our GoContractor solution has especially been expanded for Zeeland Refinery. Extensive questionnaires can now be fully customised. Once contractors submit the onboarding questionnaires, the Purchasing and QHSE department of Zeeland Refinery assess each contractor. Partly automated, partly done by hand. After approval, the contractors themselves can add their workers to GoWorkforce who on their turn can carry out their own onboarding process in advance.
The result? The 2020 turnarounds showed that pre-registration of workers increased significantly to 70%. After checking their ID, workers received an access pass and could immediately get to work. Without any waiting time! Zeeland Refinery was able to register almost 6.000 contractor workers in GoWorkforce. And therefore a 6000 fold instant profit compared to the traditional way.
To further optimize the safety and security procedures, connections are made within the software. As an example, integrations were realised with the EAL access control systems and the Helix e-learning portal. Safety examinations were integrated into the digital onboarding process to accelerate a fast workforce onboarding. The workforce is always fully aware of all safety policies and restrictions. Another added value is the implementation of GoConnect. Zeeland Refinery can extract relevant management information from the software.
